Prepare my site brief: worksheet and printable PDF
01
Start with scope, not the total.
Name the project, zones, functions and retained equipment. A camera, network point or speaker alone does not describe the expected result. State the use, known constraints and selection approver. Separate equipment supply, integration services and excluded works: Inovexia distribution must not be confused with an already-included WEXON installation.
For every line, copy the exact reference and variant. Distinguish required quantity, documented sales unit and zone allocation. A pack, reel and individual item are not interchangeable. If packaging or a compatible accessory is unknown, record a question; do not replace missing information with an assumed quantity or compatibility. The aim is a comparable proposal, not an artificially complete list.
02
Put each piece of information in the right place.
Scroll the table horizontally to compare all three columns.
| Item | Record | Avoid |
|---|---|---|
| Reference and variant | Exact active-catalogue SKU; checked variant, suffix and unit. | A similar reference chosen just to make import pass. |
| Quantity and zones | Integer total per SKU; zone breakdown in notes. | Repeated SKU or zero quantity for an option. |
| Accessories | Mount, power, connectors, installation and included items to confirm. | Inferring a complete kit from a picture or title. |
| Base and alternatives | An explicit base; options and exclusions identified in the brief. | Adding mutually exclusive solutions together. |
| Evidence and unknowns | Document, version, open question and response owner. | Turning “to confirm” into a validated fact. |
03
Prepare a CSV that can actually be imported.
Start from the import template
Use the CSV template in Projects. Required columns are sku and quantity; notes is optional. Do not add price, brand or product: unknown columns are rejected. The viewing export includes product, so it is not an unchanged re-import template. The “CSV for reimport” link supplies sku, quantity and notes directly; check values before importing.
Check the rows
Import accepts at most 500 rows and a file up to 2 MB. Each quantity is an integer from 1 to 1,000,000; each note is limited to 1,000 characters. Repeated SKUs are rejected. Group the same reference while retaining its allocation in notes. An excluded line does not become a zero quantity: describe it separately as a question or option.
Read each error before retrying
Structure errors identify rows or fields; an unknown or unpublished reference still needs resolution. Do not silently remove the requirement to achieve submission. Keep the source file, correct a copy and inspect the created project. A successful import validates structure and references, not system compatibility.
04
Six cameras, but not yet a complete brief.
ILLUSTRATIVE EXAMPLE
Fictional case: EX-CAM-A appears with 4 units for zone A and 2 for B. EX-SUPPORT has quantity 0 because the need is unknown. These invented references are not products to import. A real project would be at version 3 while an older screen retains version 2.
Correct the structure
Two rows with exactly EX-CAM-A are a duplicate; 4 + 2 = 6 gives one row with the A/B allocation in notes. The zero-quantity mount row remains invalid. Remove it from the importable file while retaining an explicit brief question: which mount and how many? The requirement has not disappeared.
Separate import from technical validation
Corrected syntax may be valid without the references existing in the catalogue. Even with recognised real references, mount, power and compatibility would remain to be confirmed. Import success therefore permits neither marking accessories verified nor announcing that all six cameras will work together.
Request against the right version
A request based on version 2 when the current version is 3 must be rejected. Review the updated project and quantities before submitting. A durable request reference means neither an issued quote, an accepted order nor an already-received email. Locate the saved request before repeating an action with an uncertain result.
Document and version-check example, with no account creation, real import or commercial request. Technical unknowns stay open until documented answers exist.
05
Before selecting Request a quotation.
Review the saved version
Save edits, then check displayed project reference, version, lines and notes. A local selection or completed form is not yet a request. If the session expires or the project changes, sign in and compare the information; do not blindly confirm an old screen.
Attach only useful information
Name drawings and surveys with their revision and remove unnecessary data. Attachments undergo scanning: “scan in progress” does not mean “available to download”. Do not send passwords, keys, private recordings or detailed security plans through the public form. Arrange sensitive material through an agreed channel with authorised people.
Check the result, not just email
After successful submission, retain the displayed request reference and check its tracking. Notifications are processed separately: delayed mail does not cancel a saved request. If uncertain, check that it exists before submitting again and give the team its reference instead of multiplying identical enquiries.
06
Useful answers start with precise questions.
Include the desired date, project phases, acceptable alternatives and blocking questions. Missing prices remain “On quotation” and unavailable stock information remains to be confirmed. Request explicit answers about variants, accessories, documents and exclusions. After receiving a quote, discussions and revision requests remain separate from commercial acceptance handled directly with the team; submitting a form establishes no lead time, stock or discount.
07
Questions before submission.
Do I need an account to prepare my list?
The catalogue and guide are public, so you can prepare requirements before signing in. Saving private projects and requesting quotes through the platform require an approved professional account and the relevant role permissions; creating a login is not enough.
Why is my exported CSV rejected on import?
The detailed CSV includes viewing information such as product, which is not part of the import template. Use “CSV for reimport” for a directly compatible copy. Start from sku, quantity and optional notes. Also check duplicates, quantities and exact references without arbitrarily changing an SKU to bypass an error.
How do I request an item without a known reference?
Describe the function, constraints and interfaces in the brief or through Contact. Do not invent an importable SKU or substitute a nearby variant. Clarify selection before adding a real project line.
Does a quotation request reserve stock?
No: saving a request is not a reservation, purchase or lead-time commitment. Have the team confirm availability and applicable terms. Your project estimate remains separate from a validated commercial offer.
Can I change the project after submission?
Do not assume an old draft replaces a request already tied to a version. Check quotation tracking and use the available revision workflow or clarify the change with the team. Always identify the reference and version to avoid incompatible proposals.
08
From a saved project to a tracked enquiry.
Create or import, then review
In Projects, create a record or import the CSV. After confirmation, open the project and review its name, references, quantities and notes. A selected file or an edited line on screen is not yet saved.
Save before exporting
Save changes and check the displayed version. The PDF and detailed CSV document the record. “CSV for reimport” produces sku, quantity and notes without the product column. Import creates a new project; it does not automatically update the original.
Request with the authorised role
An approved seller or hybrid account can submit a quotation enquiry from the saved version. The technician role organises projects; it does not permit quotation requests. A submitted enquiry has its own reference and remains separate from a reservation or purchase.
Track without duplicating the enquiry
Find the enquiry in its history, then review the proposal and version when available. If submission is uncertain, look for the record before retrying. Request a revision on the relevant proposal; continue the commercial process with the team.
